We are seeking an organised, conscientious and friendly individual to join our AccessEA administration team.   This person will work to provide general and specialist admin support predominantly to our Activities Team but may on occasion work with our Events and Lettings team. This role is available from June 2024. 

Flexibility is key, along with excellent organisational and administrative skills. 

AccessEA – The Edinburgh Academy Trading Company Ltd.  

Edinburgh Academy Is a unique venue available to hire within Edinburgh’s new town area. Our strategy is to build a bridge between the Academy family and the wider community, and we require an energetic lettings and events coordinator to join our team to help support this period of growth.  

The EA Trading Company Ltd. currently has two divisions, one overseeing all lets and utilisation of facilities within our Arboretum Road Sports Hub, and the second dealing with all commercial activities associated with letting the facilities and management of events, in addition to selling our advertising spaces.  

AccessEA presents a varied programme of commercial activity when school is not in session, particularly during the summer months when it is the chosen location for summer activity camps, international language schools, and increasingly popular as a wedding venue and unique location for film, photography, and corporate events alike.

Main Responsibilities

Main areas of responsibility may include: 

  • Acting as first point of contact to all enquiries for AccessEA, providing a warm welcome and ensuring appropriate assistance is given 
  • Maintaining manual and digital records and producing data as required 
  • Acting as a contact for our HubSpot CRM (Customer Relationship Management) system and actioning enquiries 
  • Updating our website with availability for sports bookings, and summer camps 
  • Updating and loading after school club information and liaising with parents over availability and payment 
  • Working with our Finance Team to ensure timely payments are received for all invoicing. 
  • Working with our Activities team to ensure they have up to date registers and any further admin as required 
  • Organising meetings, preparing agendas and papers for attendees, taking minutes where required 
The Ideal Candidate

We would like to hear from you if you have: 

  • Strong organisational skills 
  • High proficiency with MS Office, including Excel, Word and Outlook 
  • Experience of maintaining databases 
  • Excellent literacy and numeracy skills 
  • An eye for detail 
  • A willingness to learn other ICT packages 
  • A love of working as part of a busy team 
  • Flexibility and a willingness to learn new skills 
About the school/organisation

The Edinburgh Academy is a fully co-educational school. The School consists of a Senior School, Junior School and a Nursery Department. The School is a member of HMC. The Edinburgh Academy moved to full co-education across the whole school in 2008. The Junior and Senior Schools are on separate sites, both of which have spacious grounds and sports facilities including extensive playing fields, an all-weather sports area, and a large Sports Hall and Centre.
