George Watson’s College wishes to appoint an Upper Years Administrator to provide administrative support within the Pupil Support Admin Team of the Senior School with particular emphasis on the organisation and support of all Upper Years events.

Package Description

Location: George Watson’s College, Edinburgh

Contract Type: Part time, Permanent

Hours of Work: 14.5 hours per week (with a flexible approach to working pattern), 46 weeks per year.

Salary: £26,301 - £29,351 (based on 36.25 hours and 52 weeks) which equates to £9,306 - £10,385 (for 14.5 hours and 46 weeks)

Main Responsibilities

Upper Years Administrative Support:

  • First point of contact for Upper Years tracking report enquiries from parents, assessing the enquiry and forwarding to the appropriate department e.g. Upper Years, Subject Teachers, Curriculum Support
  • To support the Guidance Administrator, overseeing S6 registration
  • Event coordination: Administration of venue bookings, liaising with appropriate pupils, parents, colleagues and partners, list creation, seating plans and general event set up for events such as S5 & S6 Christmas Balls, Summer Leavers’ Ball, Burn’s supper, poppy collections, blood donation, charities day tombola and S6 transition events.
  • Accurately processing invoices and extras for the events.
  • Office Bearer elections - providing clear information for S5 pupils regarding the Office Bearer election process. Producing voting papers and accurate lists of pupils by name and by house.
  • To support the production of the S6 YearBook
  • To support the Upper Years Leavers’ experience including organising the leavers ball, Year Book and S6 leavers tops maintaining an accurate record of pupil’s orders and chasing non-respondents and ensuring orders are placed with external suppliers within the required timescales

To carry out any other reasonable duties as required - providing back-up administrative support to the Guidance Administrators & the various Pupil Support Teams e.g. responding to pupil enquiries, answering calls to the Pupil Support Office, booking meeting rooms for Pupil Support Staff and dealing with pupil emergencies.

  • Good level of familiarity and proficiency in the use of technology, google apps and MIS
  • Good interpersonal skills

  • Ability to support or cover other administrative team members in their absence.

Desirable:

  • Previous experience working within an education environment
  •  Experience of working in a customer service or pupil facing environment
  • Previous experience of using an education sector Management Information Systems (MIS)
