George Watson’s College wishes to appoint a Careers Administrator to provide administrative support within the Pupil Support Admin Team of the Senior School with particular emphasis on the organisation and management of all Careers events and the processing of all future destination applications.

Package Description

Location: George Watson’s College, Edinburgh

Contract Type: Part time, Permanent

Hours of Work: 21.75 hours per week (with a flexible approach to working pattern), 46 weeks per year.

Salary: £26,301 - £29,351 (based on 36.25 hours and 52 weeks) which equates to £13,959 - £15,578 (for 21.75 hours and 46 weeks)

Benefits: Automatic enrolment in the contributory support staff defined contribution pension scheme, reduced school fees at George Watson’s College for children of staff, Membership of the Galleon Club (the school’s fitness club)

Main Responsibilities

Careers Administrative Support:

  • Administration, coordination and submission of UCAS, College and other future destination applications and destination data input for S5/6 and former pupils.
  • Responsibility for setting up the UCAS Management System and and for the administration and coordination of the UCAS process
  • To assist with the Careers administration of exam results and post exam results service in early August
  • To administer and coordinate the S6 Tutor allocation programme
  • Issuing Careers Related letters/emails/forms; accurately collating responses and updating data
  • The administration and coordination of pupil workplace prep including work experience and mock interviews.
  • The administration of careers interview
  • The administration of Unifrog for all year groups
  • Event coordination: administration of venue bookings, liaising with appropriate colleagues and partners, list creation, seating plans and general event set up for events such as Business Breakfast, S4 careers and employability Day, Futures Week and Higher education Fair.
  • First point of contact for staff, pupils and families regarding careers related enquiries by phone and email.

To carry out any other reasonable duties as required - providing back-up administrative support to the Guidance Administrators & the various Pupil Support Teams e.g. responding to pupil enquiries, answering calls to the Pupil Support Office, booking meeting rooms for Pupil Support Staff and dealing with pupil emergencies.

  • Experience of handling delicate situations that require empathy and diplomacy
  • Work independently and as part of the team, demonstrating high levels of motivation and good use of initiative and common sense to complete tasks
  • Good level of familiarity and proficiency in the use of technology, google apps and MIS
  • Good interpersonal skills
  • Excellent time management skills
  • Excellent communication skills (written and verbal)
  •  Excellent organisation and planning skills
  • High degree of attention to detail and accuracy
  • Excellent problem-solving skills 
  • Ability to prioritise
  • Budgeting skills
  • Ability to deal sensitively with pupils, parents and staff
  • Ability to support or cover other administrative team members in their absence.

Desirable:

  • Previous experience working within an education environment
  • Knowledge and expertise of the UCAS, College and other destinations application process
  •  Experience of working in a customer service or pupil facing environment
  • Previous experience of using an education sector Management Information Systems (MIS)
