Projects and Operations Manager

Job Purpose

Ardonagh has recently created a new Capital Solutions Segment which will house it’s insurer services businesses (reinsurance, captives, placement, specialty MGAs). The creation of the Segment involves complex, cross-functional project plan execution over the next 12 months.

Capital Solutions is looking for a Project Coordinator to administer and organize this (and other) project(s), across the operational requirements of the Segment.

You will be working closely with the Segment leadership (CEO, Business Manager, Head of Commercial Operations) to prepare comprehensive action plans, including resources, timeframes, and budgets for projects. You will perform various coordinating tasks, schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. You will be responsible for driving project progress and working with senior stakeholders from across the Group to ensure Project delivery.

This is very much a hands-on role in a growing team. To succeed you will need to be an excellent influencer and communicator at all levels. You are likely to find yourself responsible for significant deliverables in the projects you are coordinating.

Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed on time, within budget and meet high quality standards.

Key Accountabilities

Main Responsibilities:

  • Liaise with stakeholders to identify and define requirements, scope and objectives
  • Help prepare business cases for projects
  • Break projects into doable actions and set timeframes
  • Coordinate project management activities, resources, equipment and information
  • Assign tasks to internal teams and assist with schedule management
  • Undertake assigned tasks to ensure project success
  • Analyze risks and opportunities
  • Monitor project progress and handle any issues that arise
  • Act as the point of contact and communicate project status to all participants
  • Work to eliminate blockers
  • Create and maintain comprehensive project documentation, plans and reports
  • Ensure standards and requirements are met through conducting quality assurance tests

Skills

  • Proven work experience as a Project Coordinator or similar role
  • Experience in project management, from conception to delivery
  • An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
  • Solid organizational skills, including multitasking and time-management
  • Strong client-facing and teamwork skills
  • Familiarity with risk management and quality assurance control
  • Strong working knowledge of Microsoft Project and Microsoft Planner
  • Hands-on experience with project management tools (e.g. Basecamp or Trello)
  • PMP / PRINCE2 or Agile methodologies certification is a plus

Compliance:

  • Comply with relevant legal, regulatory and Ed compliance requirements, E&O compliance procedures and quality initiatives
  • Escalate any potential E&O's to Divisional Directors and the Legal & Compliance team at the earliest opportunity

Person Specification

Essentials:

  • 5+ years experience in a reinsurance processing role.
  • 5 GCSE passes (or equivalent) including English and Maths.
  • Accurate and attentive to detail.
  • Good written and verbal skills.
  • Organised and reliable.
  • Collaborative team working approach.
  • Ability to work with employees at all organisational levels.

Desirables:

  • Proficiency in MS Outlook (e-mail).
  • Proficiency in MS Office (Word, Excel and PowerPoint).
