Main Responsibilities
  • Undertake a wide range of administrative duties and the provision of administrative support to the multidisciplinary team. Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers and in accordance with current policies, including the use of the electronic referral service (ERS).
  • Explain practice arrangements and formal requirements to new patients, ensuring that they are given an invitation for a new registration health check and ensure that registration procedures are completed.
  • Demonstrating excellent IT and workload management skills and Supporting a varied, complex and changeable service.
  • A range of difficult situations – always demonstrating a sensitive and diplomatic approach, especially when dealing with emotional members of the public.
  • Front of house – demonstrate professional behaviours at all times
  • Understand and comply with confidentiality and information governance policies and procedures
  • Processing incoming and outgoing mail
  • File and store records as required
  • Photocopy documentation as required
  • Action all incoming emails
  • Process calling letters as requested
  • Scanning of patient related documentation and attaching scanned documents to patient’s healthcare records
  • Process referrals to external agencies such as secondary care
  • Input data into the patient’s healthcare records as necessary
  • Process referrals using the electronic referral system (ERS)
  • Process incoming e-test results, ensuring they are referred to the relevant clinician
  • Read code data on EMIS Web
  • Answer incoming phone calls, transferring calls or dealing with the callers request appropriately
  • Manage all administrative queries as necessary
  • Carry out system searches as requested
  • Maintain a clean, tidy, effective working area at all times
  • Support all clinical staff with general administrative tasks as requested
  • Ensure repeat prescriptions are done accurately and efficiently following protocol
  • Subject Access Requests are entered in the correct timeframe onto One Trust and are completed within 28 days.
  • Liaising with reception/admin team, providing the required cover and being flexible during emergencies. Cover for colleagues in the event of absence through sickness or holidays as required.
  • Support with identification and notification of Health & Safety issues.
  • Promote effective communication and relationships within the team
  • Work collaboratively as a team member to achieve the objectives of the Medical Services contract and aspirations of the team
The Ideal Candidate

Experience in this role is desirable but not essential.

You will also need to be confident using IT systems and be able to demonstrate working knowledge of Microsoft Office packages i.e. Outlook, Word, Excel. Knowledge of system one is an advantage.

You will need to be able to work under pressure, and able to stay calm and focussed.
